AI HR Operating System

PIPA

Your company’s HR brain.

The platform

What PIPA is

PIPA is an AI HR operating platform for growing businesses. It turns company policies, procedures and employee documents into secure, policy-based guidance while supporting employee self-service, HR document generation, policy gap analysis, compliance administration and workforce insights. Growing businesses often reach a point where HR questions, documents and responsibilities become too large to manage informally but are not yet large enough to justify a full internal HR department. Policies become scattered across folders. Employees ask the same questions repeatedly. Managers interpret procedures differently. Documents are recreated manually. Compliance gaps become visible only when a problem occurs. PIPA creates a secure HR knowledge and operating layer for the organisation. It makes approved company information accessible, supports document generation, identifies policy gaps and provides managers with greater visibility into recurring HR needs. PIPA does not replace accountable HR or legal judgement — it reduces routine administration and makes approved HR knowledge easier to access and apply.

The challenge

As the team grows, HR becomes everyone’s job

Repetitive HR questions

Managers and administrators repeatedly answer questions about leave, policies, procedures, benefits and workplace rules.

Scattered documents

Policies, forms and contracts are stored across email, shared drives, local folders and different systems.

Inconsistent answers

Employees receive different guidance depending on which manager or administrator they ask.

Outdated policies

Policies may not be reviewed regularly and can fall behind changes in the business or legislation.

Missing policies

Growing companies often discover important policy gaps only after an incident or employee dispute.

Manual document creation

Managers recreate warnings, letters, contracts and notices from old documents or unapproved templates.

Management interruption

Routine HR administration consumes time that owners and managers should spend operating the business.

Poor employee self-service

Employees must wait for someone else to answer simple questions or locate documents.

Compliance uncertainty

Business owners may not know whether their policy environment adequately addresses current workplace obligations.

Limited HR visibility

Management cannot easily see which topics create confusion, which policies are used or where training is required.

How it works

From company documents to trusted employee answers

  1. Stage 1: Upload

Add approved HR documents to the organisation’s secure workspace.

    • HR policies
    • Employee handbook
    • Employment contracts
    • Leave policies
    • Workplace procedures
    • Codes of conduct
    • Health and safety policies
    • POPIA policies
    • Disciplinary procedures
    • Forms, templates and training material
  2. Stage 2: Organise

Classify, index and control the organisation’s HR knowledge.

    • Document categorisation
    • Version management
    • Metadata and effective dates
    • Permissions by department or role
    • Superseded-document handling
    • Document ownership and review dates
  3. Stage 3: Understand

PIPA processes approved content into a searchable policy-intelligence layer.

    • Retrieval-augmented generation
    • Semantic indexing and chunking
    • Policy mapping and search indexing
    • Source linking and policy citations
    • Confidence indicators
    • Knowledge boundaries
  4. Stage 4: Ask

Employees ask HR questions using natural language.

    • How many leave days do I receive?
    • Can I carry leave into next year?
    • Where is the remote-work policy?
    • How do I submit a grievance?
    • What is the disciplinary process?
    • How do I apply for maternity leave?
    • Where can I find the expense form?
  5. Stage 5: Respond

PIPA answers using approved company information and points the employee to the relevant source.

    • Provide a clear, plain-language answer
    • Cite the relevant policy and section
    • Link to the source document
    • State when the answer is uncertain
    • Escalate where human review is required

Example response using demonstration content: “According to the Annual Leave Policy, permanent employees receive the number of leave days specified in their employment contract, subject to the company’s leave rules. See Section 4: Annual Leave Entitlement.”

  6. Stage 6: Improve

Management uses question trends, document gaps and employee activity to improve the HR environment.

    • Frequently asked questions
    • Confusing policy areas
    • Missing or outdated documents
    • Training needs and department trends
    • Document usage and peak support periods
    • Suggested policy reviews
Policy intelligence

Answers grounded in your company’s approved documents

Unlike a generic AI assistant, PIPA is designed to answer from the organisation’s approved HR knowledge. It retrieves relevant policy content, produces a plain-language response and provides a link or citation to the supporting source. PIPA must distinguish clearly between company policy, general information and matters requiring professional advice.

Source-grounded answers

Responses are based on approved documents available within the organisation’s workspace.

Policy citations

Answers identify the source policy and relevant section where available.

Knowledge boundaries

PIPA should not invent a company rule where approved documentation does not support an answer.

Escalation

When an answer is uncertain, sensitive or requires judgement, PIPA directs the user to an authorised manager, HR practitioner or legal advisor.

Policy health

An example policy inventory shows present, missing, review-required and expiring documents so gaps are visible before they become a problem. Every drafted policy must be reviewed and approved by an authorised HR or legal professional.

Aggregate usage insights

Management sees which topics create questions and where training or clearer policy is required, using aggregate reporting and role-controlled review rather than surveillance of individual conversations.

Human review

Generated HR documents remain drafts until reviewed and approved by an authorised person.

Traceability

Answers and documents identify relevant sources, templates and versions.

Access control

AI responses respect the user’s permissions and information rights. PIPA must not provide personal employee information to unauthorised users or take disciplinary decisions.

Security by design

HR information deserves stronger controls

Designed around enterprise security principles, subject to the final hosting, configuration and operating model.

01

Tenancy and access

Every organisation operates inside its own separated environment.

  • Multi-tenant isolation
  • Separated company workspaces
  • Secure authentication
  • Role-based permissions
  • Document-level access control
02

Data protection

Approved HR content and personal information are handled under defined controls.

  • Encryption in transit and at rest
  • Restriction of personal HR information to authorised users
  • Defined retention and deletion rules
  • Controlled backup and recovery
03

AI safeguards

AI processing operates within controlled boundaries.

  • Secure AI processing
  • Customer documents are not used to train unrelated public models unless explicitly authorised
  • Source-grounded responses
  • Escalation on uncertainty
04

Assurance and audit

Activity is recorded so decisions and access can be reviewed.

  • Audit logging
  • Administrator activity records
  • Document version history
  • Permission change tracking
Document automation

Create structured HR documents without starting from scratch

PIPA assists managers and authorised administrators in creating common HR documents using approved templates, company details and relevant policies. All output is AI-assisted document drafting: documents remain drafts with a template version, source policies, an authorised approver and an audit trail until a person approves them.
