PAIA & Access to Information

The Promotion of Access to Information Act, 2000 (PAIA) gives individuals and organisations the right to request access to certain records held by public and private bodies when that information is required for the exercise or protection of a right.

AO Group is committed to handling access-to-information requests responsibly, lawfully and transparently. This page explains how to access the applicable PAIA manuals and how to submit a request to one of our South African entities.

Overview

What is a PAIA Manual?

A PAIA Manual explains the categories of records held by an organisation, the records that may be available without a formal request, and the process a person must follow when requesting access to other records.

It also provides contact details for the relevant Information Officer and summarises the legal grounds on which access may be granted or refused.

A PAIA request is a formal legal process. General customer-service, employment, supplier, invoice or project enquiries should continue to be submitted through the appropriate AO contact channel.

Process

How to request access to a record

  1. 01

    Identify the relevant entity

    Determine which AO legal entity is likely to hold the requested record. This will normally be the entity named in the relevant agreement, invoice, correspondence, employment documentation or application.

  2. 02

    Complete Form 2

    Complete the prescribed PAIA Form 2 and provide enough detail to identify the record being requested. Proof of identity must accompany the request. Where a request is submitted on behalf of another person, proof of authority must also be provided.

    Submit the request

    Email the completed form and supporting documents to info@aogroup.co.za. Recommended email subject: PAIA Request — [AO Entity Name] — [Requester Name].

    Assessment and response

    The relevant Information Officer will assess the request in accordance with PAIA. AO may contact the requester for clarification, proof of identity, authority to act, payment of a prescribed fee or other information required to process the request. Access may be granted or refused in accordance with PAIA, including where records contain protected personal information, confidential information, commercially sensitive information or legally privileged material.

Request and access fees may apply as prescribed under PAIA. Where a fee is payable, the requester will be informed of the amount and the payment process before the request is processed further.

The inclusion of a category does not mean every record within that category is automatically available. Each request is assessed under PAIA and other applicable laws.
